Job Description

Job Responsibility

  • Handle company secretary functions for Sdn Bhd
  • Register and lodge documents to the registrar according to the deadline provided in the Companies Act 2016
  • Assist in the preparation of statutory documents using Superior ComSec software (added advantages) and circulation of documents to the relevant parties
  • Maintain statutory books and records and ensure proper filling system for secretarial documents
  • Preparation and submission of statutory documents such as Annual Return, ROA, ROM, Audited Financial Statements to SSM
  • Preparation of Directors Circular Resolutions, Minutes of Meetings and such other documents in compliance with Companies Act 2016
  • Handling all aspects of corporate secretarial work with minimal supervision and liaising with SSM
  • Updating and maintaining statutory records of all companies
  • Responsible for carrying out all aspects of company secretarial functions
  • Prepare resolutions, minutes, annual returns, statutory forms and documents
  • Updating and maintaining all relevant statutory records, registers and other documents
  • Assist the Company Secretary in company secretarial and administrative matters
  • Liaise with clients, auditors, regulatory authorities and other relevant stakeholders in connection with company secretarial matters.
  • Follow-up with client on the return of documents and forms and ensure compliance with submission timeline and requirements
  • To monitor Compliance Annual Submission (Audit Report, Annual Return & Beneficial Ownership (BO)
  • Assist in any ad-hoc duties as and when assigned

Job Requirements

  • Possess a qualification of Degree or equivalent or a licensed company secretary by SSM.
  • Minimum 3 or 5 years of relevant working experience.
  • Excellent verbal and written communication skills.
  • Fluent in English
  • Excellent organising, communication, administrative, time management, multi-tasking, and interpersonal skills.
  • Excellent attention to detail, with the ability to maintain a high level of accuracy, confidentiality, and integrity at all times.
  • Ability to priorities and re-priorities.
  • Ability to work under pressure, meet tight schedule and must be efficient.
  • Ability to thrive in a fast-paced and sometimes high-pressure environment.
  • Self-motivated with a willingness to take initiative and solve complex problems.
  • Good interpersonal and networking skills and able to work independently without much guidance.
  • Competent computer skills especially Excel and Words.
