About you:
The role of the Software Asset & Licensing Co-Ordinator is of utmost importance, as it is pivotal in assisting the team in overseeing software license management to ensure compliance, optimisation, and cost-effectiveness. This role reports to the IT Vendor Ops Manager and involves maintaining an accurate inventory of software assets, assisting with procurement and renewals, conducting audits, and fostering strong stakeholder relationships. Your ability to build and maintain these relationships will be as crucial as your technical expertise. The role demands a blend of both, where anticipating and addressing potential issues is as important as managing current ones.

Day-to-day, you will:
Licensing Management:
Assist in managing software licenses across multiple vendors, with a good knowledge of Microsoft, Adobe, Salesforce, Atlassian, Google, and Oracle licensing being a nice to have.
Maintain an accurate and up-to-date inventory of software licenses and usage.
Assisting with negotiating and managing software license agreements, ensuring optimal terms and conditions.
Proactively looking to optimise costs by either identifying tooling overlap & consolidation of contracts.
Proactively identify and address compliance risks.
Assisting in Managing software contracts, ensuring adherence to terms & conditions
Good knowledge of the Snow Atlas Software Asset Management platform, including Sam Core, SAAS Management, and Data Intelligence, with Snow Risk Monitor & Productivity Optimiser being nice.

Software Procurement:
Assisting in the software procurement process, evaluating & forecasting needs, making recommendations, and negotiating with vendors.
Ensuring the purchasing process is followed for all purchases coming through the spend council.
Assisting the ITVOM & Software Asset Licence Manager in leading the weekly spend council meetings.
Reviewing and evaluating business cases for new software purchases, renewals, and additional licenses.
Provide expert insights and recommendations to the panel.
Report on purchases coming through the spend council, Including rejected requests.
Assist the Software Licence Manager in running the Spend Council timetable and ensure relevant documentation/ submissions to the Spend Council are distributed to stakeholders before the meeting.

Compliance and Reporting:
Conduct regular compliance audits and generate comprehensive reports.
Identify and address compliance gaps and risks and report to internal stakeholders where required.
Provide regular reporting on software license usage, compliance, and cost optimisation efforts.
Evaluate current software license agreements to identify potential vulnerabilities or areas where audits are most likely.

Stakeholder Management:
Build and maintain strong relationships with key stakeholders across the organisation.
Communicate effectively with stakeholders at all levels, including IT, finance, legal, and procurement.
Manage relationships with third-party vendors and partners.
Assisting the ITVOM & Software Licence Manager in developing and delivering training and awareness programs for employees regarding software licensing policies and compliance to proactively minimise risks associated with non-compliance.

Process and Documentation:
Assist in developing, implementing, and maintaining clear and concise processes and documentation related to software asset management.
Ensure that processes and documentation are continuously updated and aligned with industry best practices.

Your skills and experiences might also include:
3+ years of experience in software asset management or licensing.
Good licensing knowledge across multiple vendors
Experience in dealing with stakeholders and third-party vendor relationships at all levels essential
Strong knowledge & experience of Snow Atlas, including SaaS and Core, with experience with Snow Risk Monitor and Productivity Optimizer being nice.
Excellent communication, negotiation, and interpersonal skills.
Strong analytical and problem-solving skills, with excellent process and documentation skills essential
Proactive, self-motivated, and results-oriented, with a can-do attitude.
