Job Summary
We are looking for an astute Senior Supply Chain Executive to oversee purchasing activities and ensure that purchased items are both cost-efficient and of high quality. The responsibilities of this role include maintaining positive supplier relations, evaluating supply options and maintaining accurate records.
To be a successful Senior Supply Chain Executive, you should have an analytical mind and keep up with product and service trends. Ultimately, a top Senior Supply Chain Executive should be able to negotiate well and ensure all purchases comply with company standards. Discretion and tact are required in dealing with confidential and sensitive information and communications.
Key Responsibilities
Procurement
- Establish viable, cost effective, and strategic sourcing objectives
- Ensure commercial, legal and contractual compliances in all the procurement transactions
- Enforce company's procurement SOP, policies and procedures
- Prepare plans for the purchase of materials, Food & Beverages, equipment, services and other supplies to ensure operations efficiency is maintained
- Review, issue, monitor and follow up on PO to ensure on-time delivery and manage issues associated with unfulfilled orders, short or over-ordered materials, goods not received and damaged items
- Liaise with overseas suppliers and forwarding agents for shipment clearance of imported materials
- Follow up delivery date and acknowledge supplier DO and Invoice matches with PO
- Liaise with Finance dept. on payments, CN, resolving invoice discrepancies
- Liaise with Product, Operation branches, Logistics, Inventory and Finance teams extensively to ensure smooth running of business
- Liaise with suppliers on quotation request, price negotiation, material sample request, pricing, printing artwork and etc
- Source for new suppliers and negotiate with existing suppliers to ensure product remains relevant and competitive; analyze and compare pricing proposals from several suppliers before negotiating terms and prices to obtain the best deal for the company
- Responsible for the ongoing procurement and sourcing activities for cost-saving initiatives for the company
- Maintain good supplier relations, initiate business and organizational partnerships
- Prepare purchasing reports, records, and update price lists
- Monitor contracts to ensure that the supplier meets expectations and invoices are approved and paid in a timely manner
- Keep track of all goods and services ordered and received, and maintain accurate inventory records including details on price, quality, and delivery
- To process non-inventorised purchase requisitions upon approval from relevant departments, understanding the requirement and purchase accordingly
- Update, control and verify documentations to ensure the material ordered were within the project or campaign requirement
- Assist in product costing and pricing, for both new and existing products
- Maintain internal Product Specifications by material and food & beverages category
- Perform ad hoc tasks assigned by superior from time to time
Inventory
- Follow up and expedite on delivery of urgently required materials
- Monitors and sends alert information on the low stock, potential OOS and OOS Add-Ons to Product team to prompt further actions with Operations and Customer Service team
- Manage short shelf-life, expired, obsolete and high stock inventory
- Manage quality issue materials by communicating with suppliers, co-manufacturer and coordinating returns, claims (CN) for defectives, shortage, missing parts or write-off procedure between Operation, Inventory and Finance team

Requirements
- BSc degree in Business Administration, supply chain management, logistics or accounts
- Problem-solving and attention to detail
- Good analytical and strategic thinking skills
- Strong communication and negotiation skills
- Aptitude in decision-making and working with numbers
- Important traits: Persistent, meticulous, highly organized, tactful, committed and reliable
- Proficiency in Mandarin is an added advantage.
