Job Description

Responsibilities:
  • Key Responsibilities:
  • Administrative Support:
Manage the Chairmans calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.
Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle incoming calls, emails, and other communications, ensuring prompt and professional responses.
  • 2. Personal Assistance:
Assist the Chairman with personal tasks and errands, such as booking personal appointments, managing personal correspondence, and handling other personal matters as needed.
  • Organize and manage personal files and documents, ensuring confidentiality and discretion.
  • 3. Office Management:
Oversee the day-to-day operations of the Chairmans office, including maintaining office supplies and equipment.
  • Liaise with other departments and external stakeholders on behalf of the Chairman.
Maintain an organized filing system for both digital and physical documents.
  • 4. Travel Coordination:
Arrange complex travel itineraries and accommodations for the Chairman, including domestic and international travel.
  • Prepare travel documents and ensure all necessary arrangements are made.
  • 5. Special Projects:
Assist with special projects and initiatives as directed by the Chairman, including research, event planning, and other tasks.
  • Provide support during high-priority and time-sensitive projects.
  • Qualifications & Requirements:
Education: Bachelors degree in business administration, Secretarial Studies, or related field preferred.
Experience: Minimum of 3 years of experience as an executive assistant, personal assistant, or similar role.
  • Skills:
Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive information with discretion and confidentiality.
Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Personal Attributes:
Professional demeanor with a high level of integrity.
  • Adaptability and flexibility in handling changing priorities.
Proactive and able to anticipate needs and address them efficiently.
  • Strong interpersonal skills with the ability to interact effectively with senior executives, clients, and staff.
