Position Purpose:
We are seeking a dedicated and detail-oriented Sales and Admin Executive to join our team. This role is pivotal in maintaining accurate customer records, managing payment collections, and ensuring seamless processing of orders and returns. The successful candidate will work across multiple channels, perfumery/wholesales, handling various administrative and accounting duties.
Principal Accountabilities:
Administrative Support:
- Assist in the preparation of sales and marketing materials, presentations, and reports
- Manage and maintain databases, customer records, and sales documentation
- Handle incoming inquiries and provide information to clients and potential customers
- Coordinate meetings, appointments, and travel arrangements for the sales and marketing teams
Sales & Marketing Support:
- Process sales orders, invoices, and related documentation
- Monitor sales targets, track performance, and generate sales reports
- Support the Sales & Marketing team in organizing and attending trade shows, events, and client meetings
- Assist in the planning and execution of marketing campaigns, both online and offline
- Help manage social media accounts, websites, and other digital marketing channels
- Assist in market research and competitor analysis
Communication & Coordination:
- Serve as a liaison between the sales, marketing, and other departments within the company
- Communicate with vendors, clients, and partners to coordinate marketing and sales activities
- Ensure timely and accurate communication of sales and marketing updates to relevant stakeholders
Data Management & Reporting:
- Maintain and update CRM systems with accurate customer and sales information
- Compile and analyze data to generate reports on sales performance, market trends, and campaign effectiveness
- Ensure compliance with company policies and procedures in all sales and marketing activities
Other Duties:
- Provide general administrative support to the office as needed
- Assist in budget tracking and expense management for sales and marketing activities
- Participate in special projects and initiatives as assigned
Requirements
- Proven experience in a similar role, preferably within a sales or marketing environment
- Strong proficiency in MS Office (Word, Excel, PowerPoint) and CRM software
- Excellent organizational and multitasking skills
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Attention to detail and problem-solving skills
Preferred Skills:
- Knowledge of sales and marketing principles and strategies
- Proficient in MS Office skills, especially Excel and Powerpoint
- Familiarity with graphic design software (e.g., Adobe Photoshop, Canva) is a plus
