Responsibilities
1) Manage Visitor Management System (VMS) to coordinate all visitor events.
2) Provide a warm and friendly welcome to guests, clients, and employees as they arrive at the office.
3) Handle incoming calls professionally, directing them to the appropriate person or department and taking messages when necessary.
4) Assist visitors and callers by providing information about the organization, its services, and directing them to the appropriate resources.
5) Ensure the reception area is clean, organized and well-presented at all times, including managing brochure and other materials.
6) Sort and distribute incoming mail and packages, and prepare outgoing mail for pick up or delivery.
7) Manage appointment calendars for employees, schedule meetings, and conference rooms as needed.
8) Assist with various administrative tasks such as data entry, filling, photocopying, and scanning documents.
9) Assist to distribute office stationery to all departments.
10) Coordinate with other departments to ensure smooth operations, including managing office supplies, equipment, and facilities.
11) Provide support for special projects or events as needed, such as organizing company gathering or coordinating travel arrangement.
12) Perform any other ad-hoc duty/task assigned by Superior.
