RESPONSIBILITIES- Serves visitors parents, students, guests, and vendors by greeting, welcoming, and directing them appropriately.
Notify company staff of visitor arrival.- Attend incoming call enquires or referring inquiries.
Monitor & filter every phone call and E-mail in Inquiry Mailbox, forward to a specific person if necessary.
- Keep a safe and clean reception area ensuring the environment is always clean and pleasant & complies with procedures, rules, and regulations.
Support continuity among departments by documenting, and communicating actions, irregularities, and continuing needs.- Work closely with the security department and guard to ensure smooth security operation during guest arrival. (eg. send out Appointment Schedule List to Security Department).
Assist in any marketing events (for example school fair and liaise with security personnel to ensure smooth security operations during guests arrival).
- Contribute team effort in helping the Marketing and Admission Department with any event if needed.
Ad-hoc duties assigned as and when.
Excellent communication and ability to communicate information over the phone, in writing and in person.- Excellent communication skills in English.
Ability to speak in Japanese will be an advantage.
- Highly organized, in order to maintain orderly and complete records and ability to prioritize workload.
Knowledge and awareness of current customer service principles and practices.- Able to follow directions and also proactively address issues that may arise.
Ability to work independently and as part of a team.
