- Job Overview: Seeking a dynamic and personable Receptionist cum School Administrative Assistant to join our vibrant school community. The ideal candidate will be the first point of contact for students, parents, and visitors, ensuring a warm, welcoming, and professional atmosphere. Additionally, the role involves providing comprehensive administrative support to ensure the smooth operation of the schools daily activities.
Reception Duties:
- Greet and Welcome: Warmly greet students, parents, and visitors, providing a positive first impression.
Phone and Email Management:
Answer and direct phone calls and emails in a courteous and professional manner.Visitor Management:
Ensure all visitors sign in, receive visitor badges, and are directed to the appropriate location.Inquiries and Assistance: Provide information and assistance to students, parents, staff, and visitors regarding school activities and events.
Administrative Duties:
- Data Entry and Record Keeping: Maintain accurate student records, including attendance, enrollment, and contact information.
Document Management:
Assist in the preparation and distribution of school documents, reports, newsletters, and other communications.Event Coordination:
Support the planning and coordination of school events, meetings, and extracurricular activities.Supplies Management: Monitor and order office supplies, ensuring adequate inventory for school operations.
- Calendar Management: Assist in managing the schools calendar, scheduling appointments, meetings, and events.
General Responsibilities:
- Communication Liaison: Act as a liaison between parents, teachers, and administrative staff, facilitating effective communication.
Problem-Solving:
Address and resolve minor issues or direct them to the appropriate personnel.School Tours:
Conduct school tours for prospective students and parents, showcasing the schools facilities and programs.Compliance: Ensure compliance with school policies, procedures, and regulation
Diploma/Bachelor's Degree in Business Administration or equivalent; additional qualifications in office administration are a plus.
- Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with school management software is an advantage.
- Friendly and approachable demeanor.
High level of professionalism and confidentiality.- Ability to work independently and as part of a team.
Adaptable and able to handle a variety of tasks.
