The Purchasing Officer works directly and is responsible to the Purchasing Manager. He/she is responsible to assist the Purchasing Manager on all purchasing functions.
To assist the Purchasing Manager on all purchasing function i.e.,
Sourcing products.
Negotiating for best price but not sacrificing quality.
To evaluate and select suppliers and keep a supplier profile.
Effective sourcing of products.
Analyze quotation, comparing prices on all products.
Assist in Preparing Purchase Order, Article / Suppliers creations in system, and obtaining approvals from respective authorized personnel.
Check all quotations submitted by suppliers and verify the prices. A minimum of three quotations should be obtained for any item with the exception of regulated items.
Advise users of any excessive purchases or consumption of inventory items and to recommend practices to reduce such cost, including alternates sources of products.
Timely update of prices into the purchasing system.
Monitor vendor reliability and dependability and establishes contacts with prospective suppliers.
Handles Market List purchase requests and orders on a daily basis in the absence of Purchasing Executive.
Provide constant and accurate feedback to the Purchasing Manager with regard to market conditions, product availability, and seasonalitys and price trends.
Inform the Purchasing Manager regarding sudden price fluctuation of heavily purchased general / store / engineering items.
To do random checking on the quality of goods delivered to Receiving Department.
Market survey as and when required.
To assist Asst Purchasing Manager on Tendering processes when required.
Handle all requests and enquiries in a timely, efficient and friendly manner.
To keep track on purchase order delivery.
To coordinate with other department on regular basis pertaining to purchase requests.
Carry out market surveys with purchasing team, costs controller and chef to compare prices in the market with those quoted by the supplier.
Carry out the Purchasing task in line with Policy & Procedures stimulated.
Maintain Filing of Purchasing Documentation.
To perform other duties as may be assigned by the Purchasing Manager.
