PH World Property Sdn Bhd is seeking a highly organized and detail-oriented Project Site Administrator to be stationed at our Kulai Site Office. The successful candidate will oversee the overall project implementation at both the Gelang Patah Site and Kulai Site. This role involves handling documentation, correspondence, stakeholder coordination, material ordering and tracking, and site office maintenance.
Key Responsibilities:
- Documentation Management:
- Maintain and organize project documentation, including permits and reports.
- Ensure all documents are filed appropriately and are easily accessible.
- Prepare and distribute project reports and updates as required.
- Correspondence:
- Handle all incoming and outgoing correspondence related to the project.
- Draft letters, emails, and other communications as needed.
- Ensure timely and accurate communication with all stakeholders.
- Coordination with Stakeholders:
- Liaise between the site, headquarters, and other parties involved in the project.
- Facilitate meetings and ensure effective communication among project team members.
- Track project milestones and ensure stakeholders are kept informed of progress.
- Material Ordering and Tracking:
- Coordinate the ordering of materials required for the project.
- Track material deliveries and ensure timely procurement.
- Maintain records of material usage and inventory levels.
- Site Office Maintenance:
- Ensure the site office is well-maintained and functional.
- Manage office supplies and equipment.
- Oversee the cleanliness and organization of the office space.
- Project Support:
- Assist the project team with administrative tasks as needed.
- Provide support in scheduling and coordinating project activities.
- Ensure compliance with company policies and procedures.
Job Requirements: - Diploma or Degree in Business Administration, Project Management, or a related field.
Proven experience as a Project Administrator or in a similar administrative role.- Strong organizational and time management skills.
Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to multitask and work under pressure.- Attention to detail and problem-solving skills.
Knowledge of project management principles is a plus.
