Education and Experience- Must possess at least a Diploma in relevant field of study or equivalent work experience in project or construction administrative experience
Good working knowledge of Excel, Word and Power Point
Act as Central contact point for all project communication. Contact person for the project team for administrative questions of all kinds.- To check and assist project managers in the acknowledgment of Purchase Orders from clients.
Create project or job codes, prepare and label project files in electronic and paper form.
- To create, track, store and ensure completion of all project related documentation in hard copies and in company server, according to company standards and ISO requirements. Ensuring an accurate and secure audit trail of documents and key decisions.
Source and obtain project insurance quotations from relevant agents according to project requirement.- Archive and store dated project document separately in electronic and paper form whenever necessary.
Assist in the preparation and submission of tender documents.
- Organize and monitor schedules and see that project deadlines are met.
To track overall project progress and claims, record and highlight to project manager and/or senior management when a delay is detected.- To create and track each project invoice issuance, record and highlight to project manager and/or senior management when a delay in progress claim or payment is detected.
Preparation and follow-up of project meetings and workshops (printing of documents, preparation of flip charts, catering, securing the spatial infrastructure with PC, beamer etc.).
- Creation and sending of meeting minutes, if required.
To monitor the validity of project staff's relevant licenses and insurances, register for staff when due.
