Position Summary:
The Program Coordinator is responsible for organizing and managing the daily operations of the therapeutic program, ensuring seamless integration between clinical, educational, and recreational activities. This role involves developing and maintaining the program schedule, coordinating resources, supporting resident needs, and facilitating communication between the multidisciplinary team members. The Program Coordinator plays a crucial role in creating a structured, supportive environment that enables effective treatment and positive resident experiences.
Key Responsibilities:
1. Program Scheduling and Coordination
- Develop, implement, and maintain the daily, weekly, and monthly program schedule for all residents, ensuring smooth transitions between therapy, education, recreational, and residential activities.
- Coordinate with clinical, educational, and residential staff to align program activities with treatment goals.
- Adjust schedules as needed to accommodate individual resident needs, staff availability, and special events or activities.
2. Resource and Facility Management
- Ensure that all necessary resources (e.g., therapy materials, educational supplies, recreational equipment) are prepared and available for scheduled activities.
- Coordinate with maintenance and administrative teams to manage the use of common spaces, ensuring they are properly set up for activities, group therapy, and events.
- Oversee inventory and procurement of program supplies, managing budgets and maintaining adequate stock.
3. Resident Support and Communication
- Serve as a primary contact for residents regarding their daily schedule, activities, and special events, ensuring clarity and addressing questions or concerns.
- Support residents adherence to the schedule, providing reminders, encouragement, and guidance as needed.
- Facilitate a positive environment by actively engaging with residents, encouraging participation, and helping them navigate daily routines.
4. Team Collaboration and Communication
- Act as a liaison between clinical, educational, residential, and administrative teams to ensure coordinated, cohesive program delivery.
- Attend multidisciplinary team meetings to stay updated on resident progress and adapt the program schedule based on feedback from clinical staff.
- Provide regular updates to team members on program activities, schedule adjustments, and any logistical changes.
5. Program Development and Evaluation
- Collaborate with the Residential Director and Clinical Director to enhance and refine program offerings, ensuring alignment with therapeutic objectives and resident needs.
- Gather feedback from residents, families, and staff to identify areas for improvement and support continuous program development.
- Track and report on program participation, attendance, and resident engagement, using data to inform future scheduling and activity planning.
6. Event Planning and Special Activities
- Organize and coordinate special events, excursions, family days, and guest workshops, including logistical planning and resident communication.
- Manage permissions, transportation, and safety protocols for off-site activities, ensuring compliance with clinic policies and procedures.
- Plan seasonal or holiday-themed events that enhance resident morale and foster a sense of community.
- Planning excursions on a 12 week rotation and timetable
- Organising birthday parties, festivities and celebrations across all houses and educating young people on the celebrations of the world
- Building and developingrelationships with outside organizations to increase the global citizenship opportunities for our young people, including volunteer position within local NGO and charitable services
- Building follow on care opportunities with international organizations for internships and transitional phases of care.
Qualifications:
- Education: Bachelor's degree in Psychology, Social Work, Education, or a related field is preferred.
- Experience: At least 2-3 years of experience in a similar role, preferably within a therapeutic, healthcare, or educational setting.
- Skills:
- Strong organizational and time-management skills with the ability to balance multiple priorities.
- Excellent interpersonal and communication skills, capable of engaging residents and working collaboratively with a multidisciplinary team.
- Proficiency in Microsoft Office, scheduling software, and familiarity with electronic health records (EHR) systems.
- Ability to respond calmly and effectively in a dynamic, sometimes high-stress environment.

Working Conditions:
The Program Coordinator primarily works on-site within the clinic and residential facility. This role requires a flexible schedule, with potential for evening and weekend hours to accommodate program needs and special events.
Please note that this role is Monday to Friday, although you should demonstrate flexibility to join weekend activities when needed and it will be a requirement to attend the celebrations and activities organised which may require flexible working hours.
