Job Overview:
The Procurement, Finance & Admin Senior Executive plays a pivotal role in supporting the operational efficiency of the EV charging company by managing procurement activities, overseeing administrative functions, and ensuring the smooth operation of IT systems. This multifaceted role requires a proactive and detail-oriented individual who can manage vendor relationships, streamline administrative processes, and provide basic IT support to ensure that the company's day-to-day operations run smoothly.
Key Responsibilities:
Procurement (Primary Focus):
- Develop and execute procurement strategies for sourcing products and services related to EV charging infrastructure, office supplies, and IT equipment.
- Negotiate contracts with suppliers to secure cost-effective and quality purchases.
- Manage relationships with vendors and service providers, ensuring timely delivery and quality compliance.
- Maintain accurate procurement records, track purchase orders, and monitor supplier performance.
- Ensure compliance with internal policies, industry regulations, and sustainability standards when making procurement decisions.
Finance (Basic Knowledge):
- Assist with basic finance tasks such as processing invoices, payments, and expense tracking.
- Support the preparation of financial summaries and basic reporting as required by the Finance Manager.
- Maintain accurate records for financial documentation and audits.
Administration:
- Oversee general office administration including facility management, office supplies, and equipment.
- Ensure a well-organized, clean, and safe working environment for all employees.
- Manage office budgets, prepare reports, and handle expense tracking.
- Coordinate travel arrangements, company events, and other administrative duties as required.
- Handle communication with external parties, including service providers, vendors, and regulatory authorities.
IT Support (Advantageous, Not Mandatory):
- Provide basic IT support to staff, including troubleshooting hardware and software issues, setting up workstations, and managing company networks.
- Oversee IT equipment procurement, installation, and maintenance to ensure business continuity.
- Collaborate with external IT service providers for more complex technical issues or infrastructure upgrades.
- Ensure data security and backup procedures are followed in line with company policy.
Key Requirements:
- Bachelor's degree in business administration, Supply Chain Management, or a related field.
- Minimum of 3-5 years of experience in procurement, administration, and basic finance.
- Strong understanding of procurement processes, vendor management, and administrative practices.
- Excellent negotiation, communication, and organizational skills.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Basic understanding of finance-related tasks and processes.
- Proficiency in Microsoft Office Suite and familiarity with procurement software tools.
Preferred Qualifications:
- Experience in the EV charging, renewable energy, or telco industry is an advantage.
- Knowledge of sustainability practices in procurement and office management.
- IT certifications or experience with IT infrastructure management is a plus.
