LIST OF TASK/RESPONSIBILITIES- Manage bookings for meetings, appointments, travel arrangements, and accommodation.
Arrange travel plans, including booking flights, hotels, and transportation, ensuring all details align with the director's schedule.- Ensure that all travel and accommodation arrangements are made in a timely manner, considering the directors preferences and any special requirements.
Accurately record and transcribe dictation from the director, ensuring clarity and precision
- Coordinate and schedule meetings as requested by the director, ensuring availability of all participants.
Manage the directors calendar, keeping it up-to-date and free of conflicts.- Handle phone calls and emails and manage message-taking.
Draft correspondence such as emails and letters when required.
- Meet and greet visitors at all levels of seniority.
Manage the directors benefits, expenses, and claims, and submit them to the HR Department before the cutoff date.- Ensure that company facilities are maintained and operational.
Run essential errands as requested.
- Coordinate company events and activities.
Perform other ad-hoc duties as required.
A diploma or bachelors degree is required- Proven work experience as a personal assistant
Proficiency in Microsoft Office and various online productivity tools
- Outstanding organizational and time management skills
Ability to multitask and prioritize daily workload- Excellent verbal and written communications skills in English and Malay. Written and verbal Tamil is an advantage
Ability to maintain absolute professional discretion and confidentiality
