Job Overview:City University Malaysia is seeking a dynamic and highly organized Special Officer to the Managing Director who will provide strategic support and assistance to the Managing Director in managing and coordinating various administrative and operational functions. The Special Officer will serve as a key liaison between the Managing Director and internal/external stakeholders, ensuring efficient communication, effective decision-making, and seamless execution of initiatives.
Strategic Support: Provide strategic support to the Managing Director in developing and implementing organizational goals, initiatives, and priorities.
- Calendar Management: Manage the Managing Director's schedule, including scheduling meetings, appointments, and travel arrangements, and ensuring timely reminders and follow-ups.
Communication Liaison:
Serve as the primary point of contact for internal and external communications addressed to the Managing Director, including phone calls, emails, and other correspondence.Information Management:
Organize and maintain confidential information, documents, and records related to the Managing Director's office, ensuring accuracy, accessibility, and confidentiality.Meeting Coordination: Coordinate and prepare materials for meetings attended by the Managing Director, including agendas, presentations, and minutes, and follow up on action items as needed.
- Stakeholder Engagement: Liaise with internal departments, external partners, and other stakeholders on behalf of the Managing Director, representing the Managing Director's interests and ensuring effective communication and collaboration.
Project Management:
Assist in managing special projects and initiatives assigned by the Managing Director, including research, analysis, and reporting on key issues and opportunities.Event Coordination:
Coordinate special events, functions, and ceremonies involving the Managing Director, including logistics, guest invitations, and protocol arrangements.Administrative Support: Provide administrative support to the Managing Director as needed, including drafting correspondence, preparing presentations, and conducting research.
- Confidentiality and Discretion: Exercise discretion and maintain confidentiality in handling sensitive information and matters related to the Managing Director's office.
Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience in a similar role, preferably supporting senior executives or top management.
Excellent communication, interpersonal, and organizational skills.- Strong attention to detail and ability to prioritize tasks and manage time effectively.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to work independently with minimal supervision and thrive in a fast-paced environment.
High level of professionalism, integrity, and discretion.- _Preferably male candidate._

Pay: RM2,- 00 - RM3,500.00 per month
