Job Description

We are looking for a dedicated and proactive Personal Assistant to support our Director. As a Personal Assistant, you will be responsible for managing their schedules, organizing meetings, handling correspondence, and performing various administrative tasks to ensure efficient operation of their day-to-day activities. The ideal candidate will be discreet, highly organized, and able to anticipate the needs of our Director.
  • Responsibilities:
Manage and maintain the executive's calendar and schedule, including organizing appointments, meetings, and travel arrangements.
  • Act as the first point of contact for the executive, screening and handling phone calls, emails, and other communications.
Coordinate and prepare materials for meetings and presentations.
  • Assist in personal tasks and errands, such as booking appointments, managing personal finances, and organizing personal events.
Conduct research and compile data as needed.
  • Draft correspondence, reports, and documents.
Handle confidential information with discretion and professionalism.
  • Prioritize conflicting needs, handle matters expeditiously, and follow through on tasks to completion.
Maintain office systems, including data management and filing.
  • Maintain filing systems, both electronic and physical, ensuring accurate record keeping and documentation.
Assist in the preparation of regularly scheduled reports.
  • Order office supplies and maintain inventory.
erform administrative duties, such as filing, photocopying, scanning, and data entry.
  • Provide general administrative support to executives and other team members as needed.
  • Requirements:
Proven experience as a personal assistant, executive assistant, or similar role.
  • Excellent organizational and time management skills.
Proficiency in MS Office (MS Outlook, MS Excel, MS Word).
  • Strong verbal and written communication skills.
Ability to work independently and proactively.
  • Discretion and confidentiality in handling sensitive information.
Bachelor's degree preferred but not required.
