Job Overview:We are seeking an experienced Executive Secretary cum Office Manager to oversee daily office operations and provide comprehensive administrative support. This role is critical for ensuring efficient office functioning and supporting senior management with high-level secretarial duties. The ideal candidate will also contribute to market research activities as needed.
- Secretarial and Administrative Support:
Provide high-level administrative support to senior management, including scheduling meetings, managing calendars, and preparing correspondence.
- Handle confidential and sensitive information with discretion and professionalism.
Prepare and edit reports, presentations, and other documents for management.- Coordinate and organize meetings and events, including preparing agendas and taking minutes.
Manage and prioritize incoming communications, including phone calls, emails, and mail.
- Conduct market research to support business decisions and strategies as required.
Oversee day-to-day office operations, including managing office supplies, equipment, and facilities.
- Coordinate office maintenance and repairs, ensuring a well-maintained work environment.
Serve as the primary contact for office vendors and service providers (e.g., deliveries, maintenance, cleaning services).- Maintain inventory levels by monitoring stock, anticipating needs, and placing orders for office supplies efficiently and cost-effectively.
Ensure the office is organized, clean, and conducive to a productive work environment.
Support recruitment activities such as scheduling interviews and processing work pass applications.
- Facilitate on-boarding and off-boarding procedures, including conducting orientations and handling necessary paperwork.
Bachelors degree or equivalent in Business Administration or a related field preferred.
- Minimum of 3 years of experience in a secretarial or executive support role.
Proven ability to manage multiple tasks, prioritize effectively, and work independently.- Strong organizational skills with attention to detail and accuracy.
Excellent communication skills and professional demeanor.
- Proficient in office software and technology.
Ability to handle confidential information with integrity and discretion.
