Job Description In this role, you will provide comprehensive and confidential administrative support to the Executive Director, ensuring the smooth and efficient running of their daily operations. Responsibilities:
Calendar Management: Manage the Executive Director's calendar, scheduling appointments, meetings, and travel arrangements while prioritizing conflicting requests and ensuring adherence to deadlines.
Communication & Liaison: Act as a point of contact for the Executive Director, fielding inquiries, screening calls, and managing email communication.
Travel & Logistics: Organize and manage business travel itineraries, including flights, accommodation, and ground transportation.
Project Support: Provide administrative support for the Executive Director's involvement in specific projects, preferably those with a technical background in the property industry.
Meeting Management: Schedule meetings, prepare agendas, and distribute minutes. Attend meetings and take accurate notes.
DocumentManagement: Create, edit, and proofread presentations, reports, and correspondence. Maintain filing systems for physical and electronic documents.
Research &Analysis: Conduct research and gather information to support the Executive Director's decision-making. General Office Management: Manage office supplies and equipment, oversee administrative tasks, and ensure the smooth running of the Executive Director's office. Requirements: Minimum5years of relevant experience in the property industry or engineering industry. Proven track record of providing exceptional secretarial and administrative support in a fast-paced environment. Strong organizational, time management, and prioritization skills. Excellent communication, interpersonal, and relationship-building skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to maintain confidentiality and discretion at all times. Atechnical project background in the property industry is highly desirable.
