JOB PURPOSE
The Executive, People & Culture carries out various HR duties relating to recruitment and leavers
process, employment and dependent pass, leave and attendance management and other HR activities that are required for the effective operations of the People & Culture Department in Garden International School. He/she should develop position relationships and foster strong customer orientation with the staff community, stakeholders, governmental bodies, and other business units.
KEY RESULTS AREAS/ RESPONSIBILITIES
- Plan, manage and support hiring, onboarding and offboarding processes for both academic and non-academic staff.
- Plan, manage and administer the application, renewal and cancellation of employment and dependent pass of staff and permit to study for expatriate staff's children.
- Manage the end-to-end management of leave and attendance.
- Manage and upkeep various staff listing and staff photo portal.
JOB TASKS
- Plan and coordinate end-to-end recruitment activities across school for academic and nonacademic, from advertisement, arranging interviews, background checks, job offers and onboarding of new hires.
- Ensure all new hires meet all the required compliance checks (criminal checks, pre-employment health screening and employment reference checks) and provide complete documentation as required.
- Liaise with the Immigration Department and the Ministry of Education for the purpose of employment and dependent pass including application, renewal and cancellation.
- Liaise with the Immigration Department for the purposes of permit to study for expatriate staff's children who are studying in GIS.
- Plan and coordinate the end-to-end exit process for leavers.
- Manage and upkeep various staff listings to ensure these are updated promptly and accurately.
- Handles queries from staff with regards to their employment matters.
- Assist in data entry and data management in various portals and systems.
- Assist in the compilation and submission of relevant HR reports.
- Any other relevant duties as assigned from time to time.
JOB SPECIFICATIONS
- Degree in Human Resources Management, Business Administration or related
- Minimum 3 years related human resources / administration experience.
- Knowledge and exposure to the principles and practices of Human Resources management
- Knowledge of Malaysia Employment Act and its related regulations
- Knowledge of Malaysia Employment and Dependent Pass processes
- Ability to use Microsoft Office Applications
- Ability to communicate well with all levels of staff. A proficient command of the English Language is crucial.
- Good data management skills
