JOB DESCRIPTION:- Serve as a reliable point of contact for the Director, managing interactions with internal employees and external stakeholders.
Handle internal and external communications on behalf of the Director, carrying out assigned and authorised tasks.- Act as a deputy for the Director, making decisions, assigning tasks, and representing him in meetings with clients or customers when authorised.
Collaborate closely with the Director to keep him informed of upcoming commitments and issues.
- Facilitate clear communication between the Director's office and staff, building and maintaining trust and credibility.
Support ongoing business execution and group communications through project work and administrative tasks, such as information collation, document formatting, meeting organisation, and presentation development.- Participate in various meetings involving the Director, including department meetings, internal control meetings, and driver meetings.
Prepare correspondence, take minutes during meetings, and ensure follow-up actions are noted and executed.
- Manage travel arrangements, expense reports, and other logistics to enable the Director's focus on external relations and organizational growth.
Maintain the Director's calendar, reminding him of important events, birthdays, and festivities.- Occasionally accompany the Director on local travels to warehouse locations and client meetings.
Undertake other ad-hoc tasks as necessary and assigned.
Must be a degree holder with prior experiences in any role.
- Strong attention to detail and a highly self-motivated mindset.
Ability to multitask effectively while maintaining good time management.- Excellent communication and interpersonal skills, capable of interacting with employees and stakeholders at all levels.
Proficient in MS Office applications.
