  • Position Summary: The Administrative Executive will provide essential administrative support to ensure efficient operation of the office. This role involves handling various administrative tasks, managing office supplies, coordinating meetings, supporting the team with day-to-day activities, and processing essential government-related matters. The ideal candidate will be proactive, organized, and able to multitask effectively.
  • Key Responsibilities:
Answer and direct phone calls in a professional and courteous manner.
  • Organize and schedule meetings, appointments, and conference calls.
Prepare and distribute email, correspondence memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports.
Develop and maintain a filing system.
  • Update and maintain office policies and procedures.
Order office supplies and research new deals and suppliers.
  • Maintain contact lists.
Submit and reconcile expense reports.
  • Provide general support to visitors.
Act as the point of contact for internal and external clients.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Process government-related tasks such as applying for visas for workers.
  • Handle visas and related documentation for foreign workers.
Manage business documents and other company needs related to government compliance and regulations.
  • Qualifications:
Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Knowledge of office management systems and procedures.
Experience in handling government processes such as applying for worker visas and managing foreign worker documentation.
  • Familiarity with business documents and regulatory requirements.
Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus.
