Proposes the formulation of the administration policy and procedures and once obtained Management approval, the incumbent shall execute, monitor and highlight should there be a need for revision.
Supervises the performance of the receptionist and dispatch clerk; including, arranges replacement schedule in the event receptionist is on leave/absent from work, pre-inform dept secretary/coordinator in the event dispatch clerk is applying leave.
Administers the maintenance and upkeep of all office equipment/furniture such as multi- function printer, PABX & key-phone, paper shredder, water dispenser, binding machine, laminating machine, Franking Machine, etc.
Maintains record of attendance/door access card & car sticker. Updates Elid system (new staff, resigned staff, missing and stolen door access card). Compile staff photo and arrange for printing of Door Access Card Sticker. Report to Elid for any breakdown
Monitors and administer all Companys motor vehicle sales or purchase, utilization and maintenance.
Monitors and administer for HQ Industrial & License renewal, assist in passenger & cargo lift licensing, service provider contracts, vehicle road tax, license, warehouse good hoist licensing and others.
Sources for quotations, issuance of Purchase Orders, follow up on the deliveries and verifies all invoices for office general items such as stationery, refreshment, sundries, first aid IT, printing of business card, letterhead and etc.
As and when required, issue PO upon instruction for purchasing of warehouse packaging materials. To prepare management report as and when required (warehouse packing materials, stationery, printing materials and sundries)
To manage other tasks assigned by superior.
Job Requirements
Candidate must possess at least Pre-U, Diploma, Advanced / Higher / Graduate Diploma, any field of studies.
Minimum of 2-3 years working experience in similar capacity
Proficiency in English, Bahasa Malaysia and Mandarin.
Excellent knowledge of MS Office. Excel & PowerPoint
