Job Description

Job Responsibility

Front Desk Management

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Answer, screen, and forward incoming phone calls.
  • Ensure reception area is tidy and presentable, with all necessary stationery.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort and distribute daily mail / deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Maintain contact lists.
  • Provide general support to visitors.
  • Act as a point of contact for internal and external clients.

Administrative Support

  • Handle daily administrative tasks such as scheduling, filing, and data entry.
  • Assist in the coordination of meetings and events, including booking rooms and arranging refreshments.
  • Maintain office supplies inventory and place orders as needed.

Other Duties

  • Support the management team with various tasks and projects as needed

Job Requirements

Receptionist cum Admin Qualifications

Education & Experience

  • High school diploma or equivalent required; college degree preferred.
  • Previous experience in a receptionist or administrative role, preferably in a co-working space, office environment, or customer service setting. Skills & Abilities:
  • Excellent interpersonal and communication skills, both written and verbal. Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with technology.
  • Positive attitude and a proactive approach to problem-solving.
  • Ability to work independently and as part of a team.

Additional Requirements

  • Flexible availability, including occasional evenings or weekends for events.
  • Language: Proficiency in Mandarin and English
  • Chinese Female
  • Good time management skills and the ability to prioritize work.
