Job Description

The candidate for this position will be successful if they are able to execute a variety of secretarial duties of a confidential nature. These tasks will include working with lawyers, paralegals and other members of the firm with a series of administrative functions. Therefore, the candidate will have to have effective time management and organizational skills coupled with the ability to be detail-oriented.

Requirements and Qualification

  • Possess at least SPM Certificate or Advanced / Graduate Diploma
  • Proficient in English and Bahasa Malaysia, both written and spoken
  • Proficient in all Microsoft Office tools
  • Minimum 1 year working experience in a secretarial or administrative role, preferably in a law firm

Roles and Responsibilities

  • Provide full secretarial support in preparation of correspondence and legal documents, including but not limited to administrative filing of documents, collecting client information and updating the relevant databases, compiling and bundling bundles of documents both digital and physical
  • Assist lawyers in drafting cover letters, standard litigation and conveyancing documents, e-filing cause papers in Court
  • Preparing letters of engagement
  • Assist in drafting and preparing invoices and following up on payments
  • Assist lawyers in making calls to Courts or relevant government departments for general or specific enquiries or any follow-ups as required
  • Conduct online searches with SSM, Jabatan Insolvensi, Land Office, etc.
  • Assist in translating documents from English to Bahasa Malaysia and vice versa
  • Handle daily administrative tasks in office, such as management of lawyers calendars, claims and invoicing matters
  • Attending to all clients and/or visitors in office
  • Arrange and co-ordinate all mail delivery with despatch, courier and other delivery service providers and ensuring timely service and delivery of documents
  • Assist with answering incoming calls and replying messages on Firm's general line and mobile phone and co-ordinating and filtering any other incoming correspondence
  • Assist with any other general office administration matters
