Key Responsibilities: Oversee the recruitment process, from job posting to onboarding, talent development, and succession planning to ensure the right talent is in place to meet business goals
- Timely preparation of monthly payroll including submission of EPF, SOCSO and IRB returns
Handle administrative tasks related to human resources, such as employee records, attendance, leave and policies- Timely preparation and submission of year end returns to IRB
Lead the performance appraisal process, providing coaching and development opportunities to managers and employees
- Oversee performance management systems, including appraisal, feedback, and development plans
Management of Companys insurance program (including Employee Benefits, D&O Liability, Professional Indemnity and General Program- Coordination of staffing and development
Manage Compensation and benefits administration
Oversee the day-to-day operations of an organization's administrative functions
- Develop and implement office policies and procedures to improve efficiency and effectiveness.
Oversee inventory management, including ordering and maintaining office supplies, office cleanliness and equipment maintenance- Handle administrative tasks including coordination of dispatch/courier functions, incoming and outgoing mails are properly recorded, filing are maintained and up to date
Manage tenancy agreements for company properties, including negotiating, reviewing, and renewing contracts
- Oversee the maintenance of records and documents, ensuring confidentiality and easy retrieval.
Assist CEO in the preparation of the CEOs Report for Board Meetings, coordinate and recording of minutes of Management meetings- Liaison with the Company Secretary on secretarial matters
- Liaison with Bank Negara Malaysia and Ministry of Finance
Manage licensing matters and returns via FICPS and Statsmart System- Applications/submissions relating to appointment/re-appointment of CEO & Directors, shares transfers, appointment/reappointment of auditors and other relating matters (e.g. Change of financial year end, opening of new branch, etc)
Ensure that the Company adhere to the terms and conditions stipulated in the Broking and Takaful licences
- Registration and Submission of renewal and profile update applications with Ministry of Finance
Assist CEO on all Compliance matters of the Company
- Ensure full compliance with Financial Service Act 2013 and Islamic Financial Services Act
Ensure full compliance with the Companys policies, procedures, rules and regulations
Bachelor's Degree in Human Resources, Business Administration, or a related field- Professional Certifications such as CIPD, SHRM, or equivalent are advantageous
Minimum 5-8 years of experience in HR and administration, with at least 3 years in a managerial role
- Prior experience in the insurance or financial services industry is highly desirable
Proven track record in recruitment, employee relations, and performance management- Experience in managing payroll, benefits administration, and other HR operations
Familiarity with Malaysian labour laws and regulations and HR best practices- Good understand the Malaysia regulations/compliance and reporting to BNM
Excellent communication and interpersonal skills- Analytical and problem-solving abilities
Ability to work under pressure and manage multiple tasks simultaneously
