Job Description

Job Responsibility

Administrative Support

  • Assist with day-to-day administrative tasks, including answering phones, responding to emails, and managing office correspondence.
  • Maintain office supplies inventory and place orders as needed. Ensure that office equipment is functioning properly.
  • Coordinate meetings, appointments, and travel arrangements for staff members. Prepare meeting agendas and take minutes when required.

Financial Data Entry And Analysis

  • Input financial data into accounting software and spreadsheets. Ensure accuracy and completeness of financial records.
  • Assist in reconciling bank statements, accounts payable, and accounts receivable. Investigate and resolve discrepancies as needed.
  • Analyze financial data to identify trends, variances, and opportunities for improvement. Prepare reports and presentations for management review.

Invoice Processing And Billing

  • Assist in processing invoices, expense reports, and purchase orders. Verify accuracy of billing information and resolve any discrepancies with vendors.
  • Generate client invoices and statements. Monitor accounts receivable and follow up on outstanding payments.

Budgeting And Forecasting Support

  • Assist with budget preparation by gathering and organizing financial data. Input budget information into spreadsheets and assist with variance analysis.
  • Participate in forecasting exercises to estimate future financial performance and resource allocation needs.

Compliance And Documentation

  • Assist in ensuring compliance with financial regulations and internal policies. Maintain accurate and up-to-date financial records and documentation.
  • Support audits and reviews by providing documentation, answering inquiries, and assisting with internal control testing.

Job Requirements

  • Currently pursuing a degree in Business Administration, Accounting, Finance, or related field.
  • Strong organizational and time management skills, with attention to detail.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and Google Docs.
  • Excellent communication and interpersonal skills. Ability to work collaboratively in a team environment.
  • Prior administrative or finance experience is preferred but not mandatory.
