We are seeking a highly organized and detail-oriented HR Admin Specialist to join our growing team in Malaysia. The ideal candidate will play a crucial role in supporting the Human Resources department by managing various administrative tasks and ensuring the smooth functioning of HR and Administrative processes. The HR Admin Specialist will be responsible for maintaining accurate records, office administration, employee activities, and assisting in the implementation of HR policies and procedures.
Maintain accurate and up-to-date employee records, including personal information, attendance, and performance evaluations.
- Ensure compliance with data protection regulations and company policies related to record-keeping.
Assist in the recruitment process by coordinating interviews, collecting and reviewing applications, and communicating with candidates.- Facilitate the onboarding process for new hires, including preparing documentation and conducting orientation sessions.
Support the administration of employee benefits, including health insurance, and other perks.
- Respond to employee inquiries regarding benefits and assist in resolving issues.
Assist in the implementation and enforcement of HR policies and procedures.- Stay informed about changes in employment laws and regulations to ensure compliance.
Address employee queries and concerns, escalating issues to HR management when necessary.
- Foster a positive and inclusive work environment through effective communication and support.
Coordinate training sessions and workshops for employees, ensuring proper documentation and tracking of training activities.- Assisting in Timekeeping and compensation and benefits computation.
Implementation of Engagement activities
- Monitoring and implementation of Positive Change Policy (Corrective Action Policy)
Onboarding of new hires and ensuring proper transition to respective departments- Conduct HR Connects with team members
Assist in office administration activities such as but not limited to office supply management, asset management, coordination of repairs, maintenance and building administration concerns.
- Alignment with global team on all processes, policies and procedures of the Malaysia Office
Handle confidential information with discretion and professionalism.
Bachelor's degree in Human Resources, Business Administration, or a related field.- Proven experience in HR administration or a similar role.
Strong understanding of HR policies, procedures, and employment laws.
- Experience in office management is a plus
Experience working with fast-paced start ups is a plus- Excellent organizational and time-management skills.
Exceptional attention to detail and accuracy.
- Proficient in HRIS (Human Resources Information System) and Microsoft Office Suite, Google Suite applications, ClickUp and Slack.
