Job Overview
Provide administrative and management support to HR and Admin department including maintaining employee relations (non-management personnel), personnel records, managing HR documents and updating internal database.
Key Responsibilities/Accountabilities
Recruitment/Hiring
- Assist in hiring process: arrange for assessment, interview and reference check.
- Procuring NB and email ID.
On boarding and Orientation
- Facilitating the on boarding process for new hires ie. access card provision/fingerprint registration, locker keys, hand phone, uniforms, business cards, panel clinic arrangements and insurance cover registration.
- Introducing new employees to their colleagues and managers and sending emails to update staff movements.
- Coordinate employee's induction.
Off boarding of Resignees
- To finalise the balance of leave and total medical usage.
- Coordinating with MIS and HR Snr. Exec to remove all access from company's systems such as ERP, Fresh Sales and Service, e-leave system, fingerprint system, email, server access, insurance cover and assets return.
Employee Relations
- Manage personnel engagement for the non-executive level.
- Asist in handling employee queries and promoting a positive and productive workplace culture.
Administration
- Greets visitors and ushers them into the premises in a professional manner; understands their purpose in coming; diverts them to other departments while restricting their access to the facility without proper escort.
- System administrator for Cumulus: HR P-file cloud system.
- Acting as the administrative point of contact between the employees.
- Supporting the HR and Office administration duties for different branches.
- Support the daily function of office administrative work and operation activities, including receiving calls, recording and distributing all incoming and outgoing mail, internal and external correspondence and documents, courier service arrangements, assistance with filing, faxing, and photocopying, and ensuring internal staff contacts are updated.
- Petty cash fund custodians.
- Focal point for office purchase requisition.
- Maintain office supply inventories and pantry items within the budget and are available at all times and company uniforms.
- Responsible for general office equipment maintenance, and if needed, interact with and obtain quotations from supply vendors. Provide daily support for office management including monitor cleaner and office cleanliness.
- Assist in staff claims and overtimes and checking before verification by Payroll Senior Executive.
- Maintaining the staff's purchase record and ensuring alignment with Rentwise Staff's Purchase Policy.
- Managing and updating the online leave system and ensuring that all employees apply online for any leave or MC taken inclusive update daily leave information/attendance.
- Coordinate meetings / events / festival celebration / training: planning / budget / food & beverages / decorations.
- Onboarding and Termination: Update insurance & panel clinic, exit interview (calendar & summary of leave).
- Scheduling meetings and drafting minutes, arranging travel and accommodations.
- Undertake ad-hoc duties assigned from time to time and others ad hoc related matters assigned by Management / Superior.

Qualifications
- Diploma / Degree in Human Resources, Business Administration
- Proficiency in Microsoft Office
- Familiarity with Human Resources Information systems (HRIS) system
- Basic knowledge of labor legislation
- Good verbal and written communication skills.
Experience
- Minimum of 2 years of experience in HR and administration work.
