  • Job Description

Front Office cum Admin Assistant provides both clerical and administrative support to professionals, either as part of a team or individually. The role plays a vital part in the administration and smooth-running of operations throughout the School.

This position is involved with the coordination and implementation of office procedures and frequently have responsibility for specific projects and tasks and, in some cases, oversee and supervise the work of junior staff.

Most work involves both written and oral communication, word processing and typing, and requires relevant skills such as IT, organisational and presentation skills, as well as the ability to multi-task and work well under pressure.
  • Typical work activities
  • Issues and maintains the security of educational documents: letters, certificates, transcripts (Using Microsoft Access) and keeps a record of their destination;
Prepares and translates from (and into) the school correspondence;
  • Keeps accurate records of class lists, class/attendance registers and club lists, using Microsoft Word, Publisher, and Excel;
Helps with organizing extra-curricular activities like visits to museum, residential trips, after-school clubs;
  • Sets meetings between teachers/principal/coordinators and parents;
Answer the phone, gives information of school programs and activities, directs the quests, parents, students, staff to the right departments;
  • Assists to generate the statistical statements of students and classes at the beginning and the end of the school year;
Assists when there are special events;
  • Prepare the stationery orders that are requested by teachers, principal, HODs and directors for collection by them;
Assists the Directors/Principal/Head Of Departments anytime needed;
  • Organizes documents to be archived for admin department;
Generally helps out whenever necessary;
  • Using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to produce correspondence and documents and to maintain presentations, records, spread sheets and databases;
Devising and maintaining office systems;
  • Preparing and managing the bookings;
Liaising with staff in other departments and with external contacts;
  • Sorting and distributing incoming post and organising and sending outgoing post;
Arranging travel and accommodation for internal and other external contacts;
  • Organising and storing paperwork, documents and computer-based information;
Photocopying and printing various documents, sometimes on behalf of other
  • colleagues;
Assist to convey important message to parents
  • Assist for the school letter, uniform and book distribution
Arranging placement test for new enrolment
  • Communicating the parents / suppliers and others on behalf of the School for
specific requirements.
  • Requirements
  • Minimum of a Bachelors Degree.
Two years related experience.
  • An equivalent combination of education and work experience may be considered.
Excellent written, verbal, and interpersonal skills required.
  • Basic knowledge of office and specific programs and procedures.
Proficient knowledge of all corporate, state, and country regulations and policies applicable to the position.
  • Ability to maintain a flexible work schedule including evenings and weekends.
Ability to function efficiently and utilize good time management skills in a fast paced and demanding work environment.
  • Ability to effectively utilize a computerized lead tracking and data management system, as well as proficient knowledge of Microsoft office products.
Ability to sit for extended periods of time.
  • Ability to hear and speak well enough to communicate related persons face to face and via the telephone.
Ability to conduct extensive phone communications with prospective or enrolled students.

Job Type: Full-time
