Job Description

Employee Specifications & Qualifications
  • At least a SPM qualification, a Diploma/Degree in hotel management is an added advantage.
Experience with hotel reservations software, such as Cloudbeds and RoomKeyPMS.
  • Good administrative skills and the ability to use email and booking systems.
Must always present a positive and professional attitude.
  • A friendly and welcoming approach.
High standards of dress and presentation.
  • Ability to remain calm during difficult situations or in a very busy environment.
Excellent interpersonal skills, including a pleasant telephone manner.
  • Good team working skills.
Customer service attitude.
  • Excellent communication and organizational skills
  • Job Responsibilities
Understanding of how travel planning websites such as Booking.com and TripAdvisor operates.
  • Previous work experience as a Hotels Front Desk Agent, Receptionist or similar role.
Perform all check-in and check-out tasks.
  • Manage online and phone reservations.
Inform customers about payment methods and verify their credit card data.
  • Register guests collecting necessary information (like contact details and exact dates of their stay).
Welcome guests upon their arrival and assign rooms.
  • Provide information about our hotel, available rooms, rates and amenities.
Respond to clients complaints in a timely and professional manner.
  • Liaise with our housekeeping staff to ensure all rooms are clean, tidy and fully furnished to accommodate guests needs.
Confirm group reservations and arrange personalized services for VIP customers and event attendees, like wedding guests.
  • Upsell additional facilities and services, when appropriate.
Maintain updated records of bookings and payments.
  • To undertake general office duties, including correspondence, emails, filing and switchboard, to ensure the smooth running of reception area.
To keep up to date with room prices and special offers to provide accurate information to guests.
  • To report any maintenance, breakage or cleanliness problems to the relevant manager.

To administer the general petty cash system and float in an accurate manner.
  • To undertake all training as required (eg, first aid, health and safety, customer service).
To adhere to all fire safety test procedures and to assist in the evacuation process in the event of fire.
  • To undertake any other ad-hoc duties (bar and restaurant work) relevant to the post, as and when required.
