Job Description

Main Task

Perform receptionist and administrative task.

Job Description

1. Greet and welcome guests/ visitors and direct them to the appropriate personnel.

2. Answer phone calls and to direct calls to the correct personnel. Taking down messages as and when required.

3. Provide basic and accurate information in-person and via phone/email to query.

4. Maintain office security by ensuring guests/ visitors following safety procedures and controlling access via the reception desk (monitor logbook).

5. Record monthly attendance of staff and to notify the management on any emergency leave/ absence/ sick leave.

6. Receive, sort, record and distribute incoming mails/ couriers/ documents to the correct personnel/ department.

7. Order stationery and office supplies on monthly basis and keep track of supply.

8. Order pre-printed materials when required and keep track of supply.

9. Perform billing and generate invoices to tenants at SMASB depot (Kayu Madang) and office rental.

10. Arrange for disposal of recyclable items and e-waste.

11. Assist to call and arrange for contractor or service vendor to resolve any defect works or office maintenance issues.

12. Assist to key-in haulage vendor invoices into haulage Maslog system.

13. Assist to apply for port pass entry for ad hoc personnel.

14. Ensure reception area is tidy and presentable.

15. Assist to handle and process requests for purchases.

16. Do filing, photocopying and faxing as and when required.

17. Any other duties and responsibilities assigned by the management.

Requirements:

1. Diploma or degree holder in Business Admin, Office Management or equivalent.

2. Minimum 2 years experience in administration.

3. Good communication skills (both spoken and written) in English and Bahasa Malaysia. Conversant in Mandarin will be an added advantage.

4. Computer literate with knowledge of MS Office applications such as Word, Excel and Outlook.

5. Strong organizational and multitasking abilities.

6. Good interpersonal skills.

7. Able to work independently and proactive.

Salary Range: RM 1,800 RM 2,500
