Experienced Workplace Officer

Job Description Summary

This role is responsible for overseeing the overall office management e.g cleaning , upkeeping , planning & implementing periodic or annual preventive maintenance.

Job Description

Daily floor inspection with Spaces center team to identify, update, feedback, or any enhancement related to office environment and safety concern.
Daily checking and update for FAMIS 360
To manage the operation to carry out daily inspections, liaise and supervise contractors, identify defects and implement improvement works.
Preparing access card for onboarding employee
To manage offboarding for employee
To attend/assist and record staff request for temporary access card (forget to bring access card). Record in Temporary access card book and update the data in system
Weekly meeting with LAS/Stakeholder for any update or improvement need to be taken.
Checking email for any request by users related to FM scope
To ensure meeting room in good condition, clean and AV equipment work properly.
Overseeing the cleaning and upkeep of building premises to ensure a neat, tidy and safe work environment.
Interfacing with external contractors and service providers, calling for tenders/quotations and evaluating the submissions (Snacks, Carpet Cleaning, ad hoc job)
Planning and implementing periodic or annual preventive maintenance for any office (which equipment/asset)
Monitoring the running costs of the Facilities Department to be within budget.
Drive for continuous improvement and cost savings initiatives without compromising on the efficiency and quality of tasks to be completed.
Prepare daily reports, weekly reports, and monthly reports or other documented reports in accordance with relevant rules and regulations such as defect reports or related documents and etc.
To assist LAS team if there is not FM scope: Snacks inventory/top up, logistic assistant
To liaise with parking management for any changes of rules, increasing the cost etc.
Attending safety briefing from building management and update accordingly to the Ericsson employee when related
To verify monthly rental/variables/fixed cost billed by Spaces (LL)
Prepare monthly DFU files for payment processing
Daily checking for CCTV and Access system to ensure recorded and captured
Raising PO into EBPO LAS sharepoint
Obtain permit to work and access pass for logistic purpose to Spaces (LL)
Daily checking for office live plants.
Connect with CW finance for any end of month financial planning. Eg: accrue, outstanding payment
Provide induction for onboarding
Taking slot on the townhall session to update any related matters for FM.

To support remote Office Johor, Penang, Sabah & Sarawak

Liaise with remote office PIC for any request/defect/malfunction and etc
Liaise with landlord for any related issue to FM scope
Checking and verify monthly utilities before proceeding for payment
Engaging vendors for Aircond service/fire extinguisher/cleaner manpower
Raising P.O that related to the service

Requirements:


Minimum 1 year of relevant work experience
Proficient in microsoft office
Able to multi-task, highly organized, detail oriented
