Job ResponsibilitiesSite Engineer assists senior site engineers and project managers in the planning, execution, and management of construction projects. They are responsible for helping to oversee on-site activities, ensuring quality control, and contributing to the overall success of the projectThe Project Administrator/ Secretary role is to support the project teams by ensuring efficient coordination of administrative tasks and facilitating communication among team members and stakeholders. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Provide thorough administrative support to project teams, including scheduling meetings and maintaining project documentation such as contracts, permits, drawings, and correspondence, ensuring accuracy and easy access.
- Facilitate communication among project stakeholders, team members, and external parties by managing correspondence, responding to inquiries, and efficiently sharing information. Act as the main contact for project-related queries and requests, ensuring prompt and accurate responses.
Assist in coordinating project activities by organizing timelines, renewing permits/licenses, tracking progress, maintaining sites, and reminding project managers of deadlines. This role may also involve occasional assistance in organizing office activities as required.- Prepare regular progress reports, budget updates, and manage petty cash, along with other project-related documentation for stakeholders, ensuring clarity and accuracy. Assist in suggesting ways for archiving project documentation and occasionally consolidate consultant fees as required.
Maintain project databases, including contact lists, document repositories, and project tracking systems, to ensure data integrity and security. Organize and archive project documentation following established protocols for easy retrieval and reference.
- Support the procurement of project resources like equipment, materials, and supplies, and coordinate delivery schedules for site maintenance and project needs. Track project expenses, handle invoices, and assist in budget forecasting and monitoring to ensure cost-effectiveness and compliance with company financial guidelines.
Support project team members with administrative tasks such as scheduling travel arrangements, processing expenses, and coordinating logistics for project-related events. Foster a collaborative and supportive work environment by offering assistance and guidance as needed to help ensure project success.- Perform any duty as and when required by the immediate superior/ HOD and other ad-hoc duties as assigned.
A diploma or degree in construction management, business administration, secretarial studies, office management, or a related field can be advantageous
Minimum of 5 years of experience in administrative roles within the construction industry, demonstrating proficiency in managing project documentation and supporting project teams.
