Position Summary
Job Purpose
The Executive will support the Administration Manager by handling administrative, strategic, and communication tasks to ensure the office runs smoothly and meets its objectives.
Responsible to/Report to: Administration Manager
Key Responsibilities
- Provide administrative support to the Administration Manager, including handling correspondence and maintaining important documents, records, files, and confidential information.
- Assist in special projects assigned by the Administration Manager, ensuring completion within specified timelines and objectives.
- Assist to implement best practices for processing important documents in line with the regulatory standard and the Company's policies and procedures.
- Support the development and execution of strategic initiatives, including drafting and preparing letters, internal memos, and proposal papers.
- Coordinate with senior management and department heads to ensure alignment with the Company goals and initiatives.
- Maintain office supply inventory and oversee the maintenance of office equipment and motor vehicles.
- Professionally handle inquiries from internal and external stakeholders, directing them appropriately.
- Excellent teamwork to ensure seamless operations and communication.
- Assist in planning and organizing events, functions, and meetings as required.
- Support the Administration Manager with ad hoc tasks as needed.
Job Requirements
- Minimum Diploma in Business Administration / Accounting / Supply chain management /HR Management or any relevant certifications.
- Has at least 3 to 5 years of experience in an Executive support role.
- Strong organizational and multitasking skills.
- Self-motivated with high analytical skills and strong problem-solving/ decision-making skills.
- Excellent communication and interpersonal abilities, including the ability to handle confidential information.
- Proficiency in office software (spreadsheet) and designing skills.
- Possess knowledge or experience in bookkeeping and accounting
