Job Description

Job Responsibility

  • Manage executive calendars, including scheduling meetings, and appointments.
  • Prepare and distribute correspondence, presentations, and reports on behalf of executives.
  • Act as a gatekeeper for executives, screening and prioritizing incoming emails, phone calls, and other communications.
  • Conduct research and compile data as requested by executives to support decision-making and strategic initiatives.
  • Assist with the preparation and organization of meetings, including agenda creation, meeting minutes, and follow-up action items.
  • Coordinate with internal departments and external stakeholders on behalf of executives to ensure smooth communication and collaboration.
  • Manage expense reports and reimbursement requests for executives, ensuring accuracy and compliance with company policies.
  • Handle confidential information with discretion and professionalism, maintaining the highest standards of confidentiality and integrity.
  • Provide ad hoc administrative support to the executive team and other departments as needed.

Job Requirements

  • Qualification: Bachelor's degree in Business Administration, Management, or related field preferred.
  • Language Skill: English, Bahasa Malaysia, Mandarin (Proficiency in reading will be an added advantage).
  • Preferably, candidates with experience of 3 years to 5 years.
  • Proven experience as an Executive Assistant or similar role supporting senior executives in a fast-paced environment.
  • Excellent organizational skills with the ability to multitask and prioritize workload effectively.
  • Strong attention to detail and accuracy in all tasks, with a commitment to meeting deadlines.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Exceptional communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
  • Discretion and confidentiality in handling sensitive information and matters.
  • Proactive problem-solving skills and the ability to anticipate the needs of executives.
  • Flexibility and adaptability to changing priorities and requirements.
  • Ability to work with minimal supervision, with good communication and reporting skills.
  • Team player and a meticulous individual with a strong sense of responsibility and initiative.
  • Go-getter attitude, willingness to try new things.
