Job Summary
Collaborate, coordinate and support the planning and management of events for the Group Executive Committee and Board Members, other assigned business partners as well as external clients in order to support the execution of their events requirements.
Job Accountabilities - Key Accountabilities
- Responsible for actively contributing in the planning and managing of events for assigned business partners as well as external clients and act as liaison for their event-related requests.
- Within the scope of agreed upon objectives, executes on deliverables related to managing partnerships, budgets, event calendar, event communication, on site activation and coordinate external suppliers in order to provide the highest quality of event services (within a pre-defined budget).
- Execute the planning and coordination of complex events for assigned clients, including:
- Pre-program planning and process management.
- Internal client management.
- Attendee Management.
- Concept, idea and agenda generation.
- Budget preparation.
- Venue / site evaluation and selection.
- Vendor Management.
- On-Site Management.
- Contract negotiation.
- Plan and manage live webcast.
- Establishment and maintenance of project communications with manager, internal team and clients, Accounting, Creative Services, and event vendors (production, photography, travel).
- Contribute to the annual IT Security & Risk projects regarding external webcasts.
- Plan strategically to includeassessment and management of risk within project.
- Regular reporting of event status to client and manager, evaluation of event successes, and identification of areas for improvement in accordance with the agreed reporting schedule.
- Implementation and day to day management of Zurich's meetings & events technology for event implementation (Cvent/Crowd Compass and our Global M&E database)
Business Accountabilities
- Assist the department with the co-ordination and monitoring of the events budget so that a maximum return on investment is achieved.
- Lead the implementation of projects to deliver defined objectives with allocated resources and in timescales of typically less than one year.
- Prepare draft manuals based on the accepted changes to marketing communications and campaigns to ensure they are up-to-date and reflect the new policies.
- Research primary data sources, select relevant information, analyze key themes and trends and make recommendations to inform marketing campaigns and communications.
- Support one segment but fewer marketing channels, or one channel to ensure their needs are met within policy constraints.
- Advise senior management on procedures or regulation/legislation about what needs to be done in specific local situations which may have a significant degree of complexity.
- Contribute to the events process within part of a pillar or customer segment, with standard products that are smaller volume or less complex in their sales or through fewer channels of distribution to support sales.
Job Qualifications
Required:
- Bachelors Degree and 5 or more years of experience in the Event Planning area
OR
- High School Diploma or Equivalent and 7 or more years of experience in the Event Planning area
OR
- Zurich Certified Insurance Apprentice including an Associate Degree and 5 or more years of experience in the Event Planning area
AND
- 5 years event marketing/management experience
- Experience working with senior executives on an international basis
