Job Description:
- Assist engineers with administrative tasks such as document control, filing, and record-keeping.
- Maintain engineering documentation including drawings, specifications, technical documents and Work Instruction (WI).
- Organize and distribute engineering drawings, WI, schematics, and other technical documentation to relevant departments.
- Update and maintain the engineering database or document management system to ensure accuracy and accessibility of information.
- Coordinate meetings, appointments, and travel arrangements for engineering staff as needed.
- Assist in the preparation of reports, presentations, and documentation for engineering projects and presentations.
- Perform data entry and data analysis tasks to support engineering projects and initiatives.
- Coordinate with procurement and production departments to ensure timely availability of materials and components for engineering projects.
- Assist in the preparation and review of engineering change orders (ECOs) and bill of materials (BOMs).
- Communicate with vendors, suppliers, and contractors to obtain quotes, track orders, and resolve issues related to engineering projects.
- Collaborate with cross-functional teams including production, quality assurance, and supply chain to support engineering initiatives and resolve technical issues.
- Provide administrative support during product development cycles, including prototype builds, testing, and validation.
- Assist in maintaining the engineering lab or workspace, including organizing equipment, tools, and materials.
- Follow safety protocols and guidelines to ensure a safe working environment in the engineering department.
- Perform other duties as assigned by engineering management to support departmental goals and objectives.
- Experience and Qualification:
- High school diploma or equivalent. Associate's degree or technical certification in engineering or related field is preferred.
- Previous experience in an administrative or clerical role, preferably in an engineering or manufacturing environment.
- Familiarity with engineering documentation, drawing standards, and technical terminology.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management software.
- Strong organizational skills and attention to detail in managing documents, records, and correspondence.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders.
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
- Basic understanding of engineering principles and processes.
- Team player with a positive attitude and willingness to learn.
- Ability to maintain confidentiality of sensitive information.
- Familiarity with ERP systems or engineering software tools is a plus.
- Willingness to adapt to changing priorities and requirements in a dynamic work environment.
