Job Description

Description:

The Document Controller will play a crucial role in managing and organizing project documents, ensuring compliance with document control procedures and the project quality plan. The successful candidate will be responsible for maintaining the document control, handling documentation processes, and collaborating with internal and external stakeholders. Additionally, they will verify the quality and formatting of all documentation, implement established document control processes, and support the overall objectives. Therefore, any working knowledge on these matters would be an added advantage, contributing to a comprehensive approach to project management.
  • Duties and Responsibilities
_
  • Implementation of Document Control System_
    -Provide User Requirement Study (URS)
    -Analysis of Requirements and Process Mapping
    -Proposing a Business Requirement Document
    -Audit of current document management practices
    -Gap Analysis
    -Advise on Solutions
    -Update and Maintenance of documentation
    -Provide support regarding document management, document control, and information management.

    _2. Support in Document Control_
    -Quality checks on Internal/External documents
    -Registration
    -Filing (electronic and hard filing if required)
    -Distribution
    -Traceability and audit trail insurance
    -Liaison & Interfaces with Contractors and Subcontractors regarding document control issues
    -Reporting on document status
    -Maintain accessibility and traceability of the project documentation.
    -Ensuring Complete Traceability from Inception to retention / Disposition
    -Data structuring based.

    _3. Physical Document Management_

    -To provide document rearrangement at the COMPANYs filing facilities

    _4. Document Control Audit_
    -Document control audits against ISO 9001 requirement
    -Document control audits against COMPANY requirement
    -Identify risks and issues related to document control.
    -Propose solutions to mitigate (corrective & preventive actions)

  • Education, Experience and Other Requirements
-Diploma or Degree in Document Management or related field or its equivalent.
-MS Office Orientated
-Minimum of [2] years of experience in the related industry.
-Ability to work in a challenging environment and willingness to put in the necessary hours.
-An all-rounder with excellent multitasking abilities and a proactive approach to document control processes.
-Outstanding written and oral communication skills
-Excellent spoken and written In English
-Willing to travel.

Job Types: Full-time, Permanent, Fresh graduate

Pay: RM2,000.00 - RM3,000.00 per month

Schedule:

Monday to Friday
