Job Description

The Document Control Manager is responsible for overseeing the management and control of all project and company documents. This includes ensuring document accuracy, quality, and integrity, as well as maintaining a robust document control system. The role involves coordinating with various departments, managing document control staff, and ensuring compliance with regulatory and quality standards.

Key Responsibilities

  • Document Management:
  • Leading migration of Project Documentation from Project into SharePoint in accordance with Document Structure.
  • To ensure the documents are properly numbered renamed and stored (soft & Hardcopies)
  • Establish master document register and user guide for easy searching and track.
  • Develop, implement, and maintain document control processes and procedures.
  • Ensure all documents are accurate, up-to-date, and appropriately stored.
  • Oversee the retrieval, distribution, and archiving of documents.

  • Compliance and Standards:
  • Ensure compliance with industry regulations and internal quality standards.
  • Conduct regular audits of document control processes and systems.
  • Implement corrective actions to address non-compliance issues.

  • System Management:
  • Maintain document management systems (DMS), ensuring they are efficient and user-friendly.
  • Troubleshoot system issues and liaise with IT support for resolution.
  • Train staff on the use of the DMS and document control procedures.

  • Team Leadership:
  • Supervise and support document control staff.
  • Assign tasks, monitor performance, and provide training and development opportunities.
  • Foster a collaborative and efficient working environment.

  • Reporting and Analysis:
  • Generate regular reports on document control activities and metrics.
  • Analyze data to identify trends and areas for improvement.
  • Present findings and recommendations to senior management.

Qualifications

  • Education:
  • Bachelor's Degree in Civil Engineering, or a related field.
  • Experience:
  • Minimum of 5 years of experience as Lead Document Control from Construction Industry
  • Proficiency in document management systems (e.g., SharePoint, Aconex).
  • Strong understanding of regulatory requirements and quality standards in construction.
  • Excellent organizational and time-management skills.
  • Strong leadership and team management abilities.
  • Effective communication and interpersonal skills.
  • Detail-oriented with a high level of accuracy.
