The Document Control Manager is responsible for overseeing the management and control of all project and company documents. This includes ensuring document accuracy, quality, and integrity, as well as maintaining a robust document control system. The role involves coordinating with various departments, managing document control staff, and ensuring compliance with regulatory and quality standards.
Key Responsibilities
- Document Management:
- Leading migration of Project Documentation from Project into SharePoint in accordance with Document Structure.
- To ensure the documents are properly numbered renamed and stored (soft & Hardcopies)
- Establish master document register and user guide for easy searching and track.
- Develop, implement, and maintain document control processes and procedures.
- Ensure all documents are accurate, up-to-date, and appropriately stored.
- Oversee the retrieval, distribution, and archiving of documents.
- Compliance and Standards:
- Ensure compliance with industry regulations and internal quality standards.
- Conduct regular audits of document control processes and systems.
- Implement corrective actions to address non-compliance issues.
- System Management:
- Maintain document management systems (DMS), ensuring they are efficient and user-friendly.
- Troubleshoot system issues and liaise with IT support for resolution.
- Train staff on the use of the DMS and document control procedures.
- Team Leadership:
- Supervise and support document control staff.
- Assign tasks, monitor performance, and provide training and development opportunities.
- Foster a collaborative and efficient working environment.
- Reporting and Analysis:
- Generate regular reports on document control activities and metrics.
- Analyze data to identify trends and areas for improvement.
- Present findings and recommendations to senior management.
Qualifications
- Education:
- Bachelor's Degree in Civil Engineering, or a related field.
- Experience:
- Minimum of 5 years of experience as Lead Document Control from Construction Industry
- Proficiency in document management systems (e.g., SharePoint, Aconex).
- Strong understanding of regulatory requirements and quality standards in construction.
- Excellent organizational and time-management skills.
- Strong leadership and team management abilities.
- Effective communication and interpersonal skills.
- Detail-oriented with a high level of accuracy.
