The Customer Support Specialist serves as the first point of contact for order management and is responsible for providing many levels of support. This position requires strong organizational skills, independent thinking, and self-initiative. This individual promotes teamwork in the workplace and thrives for anticipating the needs of our customers. The ideal candidate is well qualified in handling complex customer issues and promoting positive customer experiences. They are organized with a team-oriented mentality and dedication to customer satisfaction, business goals and sales excellence.
Your Responsibilities Include, But Not Limited To
- Provide friendly, courteous, and professional communication support with customer orders received via email, telephone, direct access to customer portals, and fax - utilizing the company's Order Management System.
- Assist with physical inventory audits.
- Work closely with customers in multiple time zones and sales staff to obtain and validate order management activities.
- Load forecasts into the company's Order Management system and submit appropriate purchase orders to sister manufacturing company in Switzerland/ Malaysia.
- Cross-functionality skills to work with product groups to resolve issues/answer queries, including finance, and sales.
- Place and expedite orders with our sister manufacturing company in Switzerland/ Malaysia. Manage shipping instructions various ERP platforms.
- Be proactive in communicating problems and/or delays with customers.
- Review and expedite backorders.
- Process service return orders and quotations for customer product returns to be serviced.
- Work with accounts receivable and field sales engineers to resolve issues.
- Ensure that supporting customer purchase orders are received and kept as backup.
- Abe to work extra hours/ holidays/ US hours when required.
Minimum Qualification
- Bachelor's degree in Business or other related field
- Good command in English
- Well verse in using Microsoft Office (Excel & Outlook)
- Ability to develop complex reports and metrics.
- Good interpersonal, organizational, and communication skills.
- Ability to function independently and multi-task.
Preferred Qualification
- Minimum 1 year experience as a customer support specialist, operational support, or fresh graduates.
- Familiarity with production scheduling (ERP) is highly desired (optional).
