Key Responsibilities:
- Front Desk Management: Greet visitors and clients warmly, direct them to the appropriate person or department, and manage the reception area efficiently.
- Call Handling: Answer phone calls, direct inquiries, and take messages when necessary, ensuring clear communication.
- Appointment Scheduling: Schedule meetings, appointments, and conference room bookings for staff and clients.
- Administrative Support: Perform general office tasks such as filing, mailing, and maintaining office supplies.
- Customer Service: Provide assistance to clients and visitors, ensuring they feel welcome and attended to.
- Data Entry: Maintain and update office records, contact lists, and databases as needed.
- Mail Handling: Sort and distribute incoming mail, and prepare outgoing mail for dispatch.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration is a plus.
- Prior experience in a receptionist or customer service role is preferred.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office and office management software.
- Strong organizational skills with the ability to manage multiple tasks.
