Key Responsibilities
Property Maintenance and Upkeep
Oversee daily maintenance of common property areas, ensuring cleanliness, safety, and compliance with the strata by-laws.
Arrange for regular maintenance of building systems (e.g., HVAC, elevators, plumbing, and electrical systems) and manage emergency repairs.
Coordinate with contractors and vendors for routine maintenance, landscaping, pest control, and waste management.
Budgeting and Financial Management
Prepare, monitor, and manage the budget for maintenance and operational expenses in collaboration with the MC.
Ensure that expenses align with the approved budget and propose adjustments as needed.
Track income and expenditures, providing reports to the MC and stakeholders.
Resident and Tenant Relations
Serve as the primary point of contact for residents, handling complaints, suggestions, and requests related to common areas and strata issues.
Conduct regular communications with residents, providing updates on property matters, notices, and maintenance schedules.
Facilitate smooth onboarding for new residents and coordinate move-ins/outs to minimize disruption.
Regulatory Compliance and Strata By-Laws Enforcement
Ensure compliance with all relevant regulations under the Strata Management Act 2013 and the Strata Titles Act 1985.
Educate residents on by-laws and manage disputes or breaches according to set protocols.
Oversee the preparation and filing of regulatory documents, insurance policies, and inspection reports.
Security and Safety Management
Supervise the implementation of security protocols to safeguard residents, guests, and property assets.
Oversee and maintain fire safety systems, coordinating inspections and regulatory compliance.
Conduct routine risk assessments to address potential hazards and ensure property safety.
Vendor and Contractor Management
Select and engage vendors, obtain quotes, and negotiate contracts for goods and services in collaboration with the MC.
Monitor and evaluate vendor performance, ensuring adherence to agreed service levels.
Handle disputes with vendors or contractors promptly to ensure services are maintained.
Preparation and Management of Annual General Meetings (AGMs)
Assist the MC in preparing for AGMs and other committee meetings, including agenda planning, documentation preparation, and record-keeping.
Attend AGMs to provide updates, respond to resident queries, and facilitate voting or decision-making processes.
Implement resolutions and decisions made at AGMs, including enforcement of new by-laws and amendments.
Administrative Duties
Maintain and update records of residents, tenant leases, financial statements, maintenance schedules, and legal documents.
Coordinate with the property management office to ensure administrative efficiency and seamless service delivery.
Report regularly to the MC, providing insights, updates, and recommendations to improve property operations.
