Job Description

Position Summary: We are seeking a highly organized and proactive individual to serve as an Assistant to the Personal Assistant. This role involves providing comprehensive support to the Personal Assistant, ensuring the smooth operation of daily activities and tasks. The ideal candidate will be detail-oriented, capable of multitasking, and possess excellent communication and organizational skills.
  • Key Responsibilities:
Administrative Support:
  • Assist in managing the Personal Assistant's calendar, including scheduling meetings, appointments, and travel arrangements.
Handle correspondence, including emails, phone calls, and letters, and respond on behalf of the Personal Assistant as required.
  • Prepare and organize documents, reports, and presentations.
Task Coordination:
  • Help coordinate daily tasks and ensure timely completion of activities assigned by the Personal Assistant.
Manage and prioritize incoming requests and communications to ensure efficient workflow.
  • Maintain a task list and provide regular updates to the Personal Assistant on the status of various projects.
Event Planning:
  • Assist in planning and organizing events, meetings, and conferences, including logistics, catering, and guest coordination.
Prepare and distribute meeting agendas, minutes, and follow-up action items.
Personal Assistance: Provide personal support to the Personal Assistant, including running errands, managing personal appointments, and handling confidential matters.
  • Assist with any ad-hoc duties as required by the Personal Assistant to ensure seamless personal and professional operations.
Office Management:
  • Maintain office supplies and ensure the work environment is tidy and organized.
Liaise with internal and external stakeholders to facilitate communication and collaboration.
  • Document Management:
Organize and maintain electronic and physical files, ensuring easy retrieval and confidentiality.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Qualifications:
SKM/SPM & Diploma in Secretary ,Business Administration, Office Management, or a related field preferred.
  • Proven experience as an administrative assistant or in a similar support role.
Typing skills for taking minutes meeting.
  • Excellent organizational and time management skills.
Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle sensitive information with discretion and confidentiality.
  • Strong problem-solving skills and attention to detail.

Job Type: Full-time

Pay: RM1,
  • 00 - RM1,800.00 per month
