Job Description

Job Purpose:

Supporting the Resource Center operations in systematic resource center and record management to ensure information is accessible, stored, and managed efficiently. This Temporary Staff will be responsible for supporting the Resource Center's operational management and assisting in record control processes. This includes performing online cataloging, managing the electronic record management system, and digitizing informational materials related to company documents. All digitized record is a crucial asset for accurate storage and retrieval purposes. This Temporary Staff will also carry out any additional tasks as instructed.

Responsibilities:

Resource Center Management:

  • Organize, index, and maintain library materials such as books, journals, and other reference materials.
  • Update and add new material records to the library catalog system (Excel).
  • Assist in preparing inventory reports and ensure library materials are managed neatly.
  • Provide support to library users by assisting in locating materials and preparing requested items.
  • Coordinate the loan and return of materials with Resource Center users.

Record Management:

  • Manage company records by scanning, organizing, and storing documents in the electronic record management system.
  • Key in, Identify and Upload records in electronic record management system.
  • Assist in reorganizing records according to company needs and record management standards.
  • Prepare reports on records being managed, including storage status and reorganization progress.
  • Ensure the confidentiality and security of company documents are maintained at all times.

Data Entry and Documentation:

  • Enter data related to resource center and records into the management system.
  • Ensure the accuracy and consistency of entered information and report any errors.

General Resource Center Support:

  • Support promotional and training activities related to the use of the Resource Center.
  • Assist permanent staff with additional tasks or relevant projects.

Qualifications & Requirements:

  • Education: Minimum Diploma in Record Management, IT, Business Management, Engineering or related field is an advantage.
  • Skills: Ability to work with data and record management applications (such as Microsoft Excel or electronic record management systems).
  • Experience: Fresh graduates are highly encouraged to apply; experience in library or record management is an advantage but not required.
  • Communication Skills: Ability to communicate effectively and courteously.

Skills and Abilities:

  • Attention to detail.
  • Discipline and organization in managing record and materials.
  • Ability to work independently as well as in a team.
