Job Summary:
The Assistant Facilities Manager will be responsible for overseeing the management, maintenance, and operation of manufacturing facilities to ensure optimal functionality, safety, and regulatory compliance. This includes supervising facility maintenance activities, coordinating vendor services, implementing health and safety protocols, and supporting an efficient manufacturing environment.
Key Responsibilities:
Facility Operations & Maintenance
- Oversee the operation and maintenance of all facility systems, including HVAC, electrical, mechanical, and plumbing, to support continuous manufacturing processes.
- Ensure facilities are well-maintained, with minimal disruptions to manufacturing activities.
- Implement preventative maintenance schedules and conduct regular facility inspections to identify and resolve issues proactively.
Vendor & Contract Management
- Source, negotiate, and manage contracts for facility services, including maintenance, security, janitorial, landscaping, and waste management.
- Evaluate and monitor vendor performance to ensure service quality and cost-effectiveness.
- Establish and maintain strong relationships with service providers and contractors.
Project Management & Facility Improvement
- Plan and execute facility-related projects, including renovations, expansions, and equipment upgrades.
- Coordinate with internal teams and external contractors to complete projects on time and within budget, minimizing disruptions to manufacturing.
- Lead initiatives to improve facility performance, energy efficiency, and cost savings through continuous improvement practices.
Budgeting & Financial Management
- Develop, manage, and monitor the facilities budget, ensuring alignment with overall company financial goals.
- Track expenses related to repairs, maintenance, utilities, and facility improvements, identifying and implementing cost-saving measures where possible.
- Prepare regular reports on facility expenses, maintenance status, and improvement project progress for management review.
Environmental & Sustainability Initiatives
- Implement and promote sustainable practices within the facility, focusing on energy efficiency, waste reduction, and recycling.
- Monitor and report on key environmental metrics, such as energy usage and water consumption, to identify opportunities for improvement.
- Collaborate with the environmental management team to comply with relevant environmental standards and certifications.
Space Planning & Asset Management
- Maintain an accurate inventory of facility assets, including equipment, furniture, and other physical resources.
- Coordinate workplace adjustments, office moves, and equipment installations as required.
Team Leadership & Training
- Supervise and provide leadership to the facilities maintenance team, assigning tasks and ensuring safe, efficient performance.
- Train, mentor, and support team members, fostering a collaborative and proactive work environment.
- Conduct performance reviews and identify opportunities for skill development among team members.
Qualifications:
- Bachelor's degree in Facilities Management, Engineering, Industrial Maintenance, or a related field.
- Minimum of 5-7 years of experience in facilities management within the manufacturing industry.
- Proven experience with facilities systems in manufacturing environments, such as HVAC, plumbing, electrical, and fire protection systems.
- Familiarity with preventive maintenance programs and facility management software.
- Excellent project management, organizational, and budgeting skills.
- Strong communication and negotiation skills for vendor and stakeholder management.
Preferred Skills:
- Certification in Facilities Management (e.g., IFMA, FMP, or PMP) or local equivalent.
- Experience with lean manufacturing principles and continuous improvement processes.
- Knowledge of sustainability practices and energy-saving techniques.
- Proficiency in Microsoft Office and facility management software (e.g., CMMS).
