The Legal Department is a busy international team of professionals with experts based in the UK, Dubai, Singapore, Australia, and the US. The UK legal team deals with a variety of legal issues that arise daily in a company the size and complexity of Mott MacDonald and the global team is headed by our Group General Counsel, a practising solicitor with over 30 years of legal experience. Our role is to serve our internal clients, the Mott MacDonald project teams from various business sectors, by providing commercially focused legal advice and support.
We are currently looking for an Assistant Company Secretary and the role will be based in our Singapore or Malaysia office. The role will report into the Regional General Counsel (APNA) with a dotted line to the Deputy Company Secretary.

Job Description
The Legal and Corporate Secretarial team provides the legal and corporate services for all Group companies by working as an integral part of the business to help achieve Mott MacDonald's strategy by ensuring the smooth running of good corporate governance and compliance of all Group companies. As an Assistant Company Secretary, you will be providing company secretarial services for entities based in Asia Pacific New Zealand and Australia (APNA) Region of the Group.
This role involves dealing with the varied day-to-day workload of a busy Company Secretariat function in the region, which provides advice and support to stakeholders in a large international group of companies.

This position requires a company secretarial or legal-experienced professional with strong communication skills with the ability to communicate and liaise with all levels of the business. As part of your role the successful candidate will be able to assist as part of a team with the following duties:
- All core company secretarial duties related to annual compliance work.
- Maintain company registers and lodge corporate documents for the APNA region.
- Develop and maintain professional relationships with colleagues in the Group support functions throughout the region and in the UK and external service providers in different legal jurisdictions as part of entities maintenance.
- Manage and coordinate the processing, verification and execution of all legal documentation, such as Board Minutes, Board Resolutions and Bank Mandates and provide input along with other functions.
- Process legal documents to be notarised and legalised where necessary.
- Prepare powers of attorney and arrange the execution of legal documents.
- Conduct necessary filings.
- Process bid documentation e.g. Directors details for bid team and business units.
- Provision of KYC, and other documents as requested from the divisional business units.
- Process payments and invoices.
- Assist with the entity consolidation programme (corporate transactions in the APNA region including incorporations, dissolutions and restructurings.)
- Ad-hoc long-term projects, assisting and supporting the Group Regional Counsel and Deputy Company Secretary on corporate transactions and other projects as and when required.
- Pro-actively contribute to the success, high performance and development of the company secretariat team.
What do we need from you
To join our legal team, you will need to be qualified to degree level with a keen interest in the law. Previous experience working in a company secretariat team or law firm is required and ideally you should have working knowledge of Company Secretariat with 2-3 years of work experience in the field.You need a high level of attention to detail when working under pressure and display a commitment to excellence. You need to be highly adaptable and proactive as well as self-organised and motivated. You will need good IT skills in Microsoft office applications and be able to demonstrate a commitment to self-development where required. You will also need to demonstrate excellent team working skills.
