Job Overview:We are seeking a skilled and detail-oriented Administrator to join our team. The successful candidate will provide administrative support to ensure the efficient operation of the office and assist in various organizational tasks. The ideal candidate will be proactive, resourceful, and have excellent organizational and communication skills.
Perform general administrative tasks, such as answering phones and managing correspondence.
Schedule appointments, meetings, and conferences, and coordinate travel arrangements as needed.
Prepare and distribute memos, letters, reports, and other documents.
Maintain and update filing systems, both electronic and physical, ensuring accuracy and ease of retrieval.
Manage office supplies, order replacements as needed, and ensure proper inventory levels.
Support basic bookkeeping tasks, such as invoicing, expense tracking, and reconciliation.
Assist the HR department with administrative tasks, such as maintaining employee records and assisting with recruitment processes.
Handle confidential and sensitive information with the utmost discretion and professionalism.
Perform other administrative duties as assigned to contribute to the smooth functioning of the office.
High school diploma or equivalent; additional qualification as an Administrator or Office Administrator is a plus.
Proven experience as an administrator or in a similar administrative role.
Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
Excellent written and verbal communication skills.
Attention to detail and problem-solving abilities.
Ability to multitask and work well under pressure in a fast-paced environment.
Professional and ability to maintain confidentiality.
Strong interpersonal skills and the ability to work well both independently and as part of a team.
Familiarity with office management systems and procedures.
Flexibility and adaptability to changing work demands, including occasional overtime or modified schedules.
