Job Description

Job Responsibility

Key Responsibilities

Administrative Support:

  • Manage and organize office operations and procedures.
  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing orders, and verifying receipt of supplies.
  • Handle incoming and outgoing mail and packages.

Communication

  • Answer and direct phone calls and emails.
  • Act as a point of contact for internal and external clients.
  • Prepare and distribute correspondence, memos, and forms.

Scheduling And Coordination

  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Assist in the preparation of regularly scheduled reports.
  • Coordinate with the service team for installations and maintenance appointments.

Record Keeping

  • Maintain physical and digital filing systems.
  • Ensure the accurate and timely recording of all transactions.
  • Handle confidential and sensitive information with discretion.

Financial Duties

  • Assist in payroll processing and manage employee records.
  • Process and manage invoices, receipts, and other financial documents.
  • Assist with budget preparation and expense reports.

Customer Service

  • Provide general support to visitors.
  • Address customer inquiries and provide information regarding services and products.
  • Handle customer complaints and escalate issues when necessary.

Compliance And Safety

  • Ensure company policies and procedures are followed.
  • Monitor compliance with health and safety regulations.

Job Requirements

Position Overview:

The Admin Executive is responsible for providing administrative support to ensure efficient operation of the office. The role involves handling a wide range of administrative and executive support-related tasks, managing communication, and being able to work independently with little or no supervision. The Admin Executive should be well-organized, flexible, and enjoy the administrative challenges of supporting a diverse office environment.

Requirements

Education:

  • Bachelors degree in Business Administration or a related field preferred.
  • Additional qualifications as an Administrative assistant or Secretary will be a plus.

Experience

  • Proven experience as an administrative assistant, office admin assistant, or in another relevant administrative role.
  • Familiarity with office management procedures and basic accounting principles.

Skills

  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
