As an Admin Assistant, your job scope typically revolves around supporting the administrative functions within the organization. Here are some common responsibilities:
- Answering and Directing Calls: Manage incoming calls and correspondence, often directing inquiries to appropriate staff members.
Managing Correspondence: Handle incoming and outgoing mail and emails, often drafting responses or forwarding messages to the appropriate parties.
- Scheduling and Coordination: Arrange and schedule meetings, appointments, and travel arrangements for executives or office personnel.
Document Preparation
: Prepare and edit documents, reports, and presentations as needed.Data Entry and Record Keeping
: Maintain databases and filing systems, ensuring accurate and organized information.Office Supply Management: Monitor and order office supplies and equipment, ensuring availability for staff.
- Meeting Support: Prepare meeting agendas, attend meetings to take minutes, and distribute minutes to participants.
Customer Service
: Provide support to customers or clients, handling inquiries and resolving issues promptly.Administrative Support
: Assist with administrative tasks as needed, such as photocopying, scanning, and organizing files.Event Coordination: Assist in planning and coordinating events, including logistics and attendee management.
- Other ad-hoc tasks as required.
Preferably female
- Possess minimum Diploma or Equivalent
At least 1 year of experience as Admin Assistant or similar role- Being able to speak Mandarin is an added advantage
Proficiency with Microsoft Office is a must (Outlook, Word, and Excel)
