Aberdeen Drilling School (ADI), a member of the RelyOn Nutec Group, is an international drilling and well engineering training company is the largest well control training centre in Europe and Asia, having developed and delivered well control training in over 50 countries worldwide since its inception. We are looking for a suitable candidate to fill in the vacant position in ADI as detailed below:

Position Title: Admin Executive

We are seeking a detail-oriented and organized individuals to join our team as Admin Executive at our sister company, in Menara Atlan, Jalan Ampang, Kuala Lumpur. If you have excellent administrative skills, strong communication skills, and a passion for contributing to the smooth operation of a dynamic training environment, we encourage you to apply for this position.

Job Function

Reporting to the Regional Director of ADI, the Admin Executive will play a crucial role in ensuring the smooth functioning of our training center operations. This position involves handling a variety of administrative tasks to ensure the efficient operation of the center.

Job Responsibilities

  • Efficiently manage and route phone calls, ensuring professionalism and timely responses.
  • Address employees and clients queries promptly and professionally via email, phone, or in-person.
  • Make travel arrangements for employees, including flights, accommodations, and transportation.
  • Process and report office expenses monthly, maintaining accurate petty cash records.
  • Maintain updated student records and record training bookings, ensuring confidentiality and accuracy.
  • Schedule meetings, take minutes, and distribute relevant documentation efficiently.
  • Handle incoming and outgoing mail, sorting and directing correspondence effectively.
  • Managing HRDC registration and communication
  • Any other responsibilities as instructed or delegated by the Regional Director.

Job Requirements

  • Minimum Degree in Business Administration or a related field.
  • Minimum 3 years administrative experience.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and a willingness to learn new software.
  • Excellent planning & organizational skills and a proactive approach to problem-solving.
  • Strong English written and verbal communication skills with attention to detail.
  • Highly motivated, adaptable, and eager to contribute to a collaborative team environment.
  • Ability to prioritize tasks, manage time effectively, and work with minimal supervision.
